Support and training, and what costs extra

Software you cannot get started with is not cheap at any price. Here is what comes with each plan, and what sits outside the licence so there are no surprises later.

On Free

A 30 minute remote overview, then help when you need it

Every agency on the Free plan gets a 30 minute remote session to walk through setup: getting your carers and service users in, building your first week of rota, and putting the app on a carer's phone.

After that, support is by email and chat. You are not paying, and you are still answered.

On Pro

Remote training and support, in the licence

Pro includes live remote training for your team, office staff and field carers alike, rather than a video library and good luck. It is part of the per carer price, not an add on, and it is available again when you take on new coordinators or change how you work.

Support is included on Pro too, with priority handling.

Onsite training

Training delivered at your office, for agencies that would rather get everyone in a room. This sits outside the licence and is quoted before anything is booked, because the cost depends on where you are and how many people are being trained.

Bringing your live data across

Free. Your current carers, service users, care plans and the running rota come across at no charge, and we do the work rather than handing you an importer and wishing you well.

That is deliberate. Getting in should not have a toll on it, and a charge on the way in sits uncomfortably close to a charge on the way out.

Past service users, former staff and old visit records are a separate job, and this one is quoted rather than fixed, because the price is set by what your current provider will actually hand over.

A clean export of historic records is quick work. A provider who will only give you PDFs, or who makes you open records one at a time on screen, is not. We look at a sample first at no charge and quote from what is really there.

It is also optional. Your statutory retention duty can be met by keeping the old system's export, so it is worth deciding on rather than assuming.

You pay for carers, not logins

Free while you have up to five carers. Once you pass five it is £10 per carer per month for every carer, so twelve carers is £120. Coordinators, managers and owners who do not deliver visits are never counted, and there is no cap on service users.

The Free plan gives you the full core platform: scheduling, digital care plans, the carer mobile app with GPS check-in/out, MAR records, invoicing, payroll, the family portal, four-nation compliance and the full reporting suite. It's free while you have up to 5 carers, with your office team and service users unmetered. No credit card is required and there is no time limit.
You pay nothing while you have up to 5 carers. Once you have 6 or more, it's £10 per carer per month on Pro (6 carers = £60, 20 = £200). Headcount is taken at your renewal date, so a carer who joins mid-cycle is billed from the next cycle and leavers are not charged after they go. Coordinators, managers, owners and other office staff who don't deliver visits are never counted, and there is no limit on service users. Absolutely. You can upgrade or downgrade your plan at any time from your account dashboard. When you upgrade, the new features become available immediately. If you downgrade, the change takes effect at the start of your next billing cycle. There are no penalties for switching.
No. All homecareOS plans are month-to-month with no long-term commitment. Annual billing simply gives you a 20% discount. You can still cancel at any time with no fees.
