From Application to Onboarded, All in One System

Candidates are invited by email, then work through a secure multi-step application portal that collects documents, qualifications and references before they even walk through the door. No paper forms, no re-keying data. Approved applicants flow straight into your carer database, ready to work.

The new homecareOS carers list, with roles, areas and each carer's worst staff check

Every applicant, one tracked pipeline

Seven stages, from first application to first shift. You can see at a glance who is waiting on a document, whose background check is still out, and who is ready to start.

  1. Application
  2. Documents
  3. References
  4. DBS Check
  5. Interview
  6. Offer
  7. Onboarding

Applicants are not passengers in this. Each one gets their own login and works through the stages themselves: the application form, right-to-work and ID documents, qualifications, referee details, DBS information, health and declarations. They upload their own paperwork instead of emailing it to a coordinator who then has to chase, rename and file it, which is where most of the administrative time in hiring actually goes.

They can also see how far along they are. Each stage carries its own status, so a candidate knows whether you are waiting on them or they are waiting on you, and the "any news?" calls largely stop. Your coordinators see the whole pipeline from the other side, colour-coded: the sections the candidate is working through, plus the interview, offer and onboarding stages that stay on your side of the process. It is obvious at a glance where each candidate has stalled.

Recruitment That Actually Works

Seven capabilities that transform how you find, vet and onboard care staff.

Online Application Portal

A professional multi-step application flow, sent to candidates by secure invite. They complete everything before you review.

Applicant Tracking

Pipeline view of every candidate. See who's applied, who's in review, who needs references, and who's ready to start.

Document Management

Candidates upload right-to-work, qualifications, and ID documents during application. No chasing paperwork.

Induction & Onboarding

Structured carer induction from pre-start checks through day one, week one and probation, with every task signed off as it is completed, so new starters are compliant and confident from the first shift.

Reference Management

Referee details come in with the application, and every reference is tracked from requested through to received and verified, so you can see at a glance which candidates are still waiting on one.

Direct to System

Approved applicants flow straight into your carer database. No re-keying, no duplicate data entry.

Compliance-Ready

The background check is a tracked stage, labelled DBS, PVG or AccessNI to match your nation. Mandatory training is scheduled from the start date, and the workforce registration your nation requires is flagged at hiring, then tracked with renewal dates on the carer record.

When the inspector asks

The staff file an inspector asks for, printed on request

Inspectors increasingly pick a carer at random and ask to see their file. In England that file is judged against Schedule 3 of the 2014 Regulations, in Wales against Schedule 1 of the 2017 Regulations, and in Northern Ireland against Schedule 3 of the 2007 Regulations. Scotland sets no list, and asks instead that you can show the person was fit to be employed. homecareOS collects those items during recruitment and keeps them on the carer record afterwards.

One button, one staff file

Open a carer and print their staff file as a PDF, laid out in the order the schedule lists the items. It names what is held and what is missing, so you know what you are handing over before anyone else reads it.

Gaps have to be explained

The application works out the gaps in a candidate's employment history itself and will not let them submit until each one carries a written reason. The explanation travels with the application and prints on the staff file next to the gap.

Checked by someone who saw it

Your office opens each uploaded document before marking it verified, and the record carries who verified it and when. A tick that nobody looked behind is worth nothing to an inspector.

The certificate does not linger

Once the office has checked a background check certificate off, it chooses: destroy the scan, or keep it with a stated reason and a six month review. The number, the date and the decision stay on the file either way.

Nothing lapses quietly

A daily check looks at background checks, workforce registration, right to work and its follow-up date, and training expiry, then tells the office at sixty, thirty, fourteen, seven and one days, on the day, and weekly after that until it is dealt with.

Hiring carries the paperwork over

When an applicant is hired, their documents, references, employment history, explained gaps, background check number and prior training move onto the carer record. The recruitment file and the staff file are the same evidence, not two copies of it.
