Built for home care, not care homes. homecareOS supports domiciliary teams, visiting carers covering multiple service users a day. If you run a residential care home or nursing home with on-site shift staff, Person Centred Software or Nourish are better suited.
Staff Management

Your Carers Are Your Greatest Asset. Treat Them That Way.

Retaining good carers is the single biggest challenge in home care. High turnover drives up costs, disrupts continuity of care, and shows up at your next inspection, whichever of the four nations you are registered in. homecareOS gives you the tools to track training, score absence with the Bradford Factor, manage leave and schedule supervisions, so the patterns surface before your best people walk out the door. Hiring the replacements, and building the staff file that has to exist before a new carer works alone, is the recruitment side of the same record.

The Bradford Factor, at a glance

Short, frequent absences push the score up the dial. Every carer is scored from their sickness spells over the last twelve months, without a separate HR system.

Tools That Help You Retain and Develop Your Team

Training Tracking

Monitor mandatory and specialist training across your entire team. Certificates are flagged as expiring from 30 days out, and as expired once the date passes.

DBS & Registration Monitoring

Track DBS checks, professional registrations (SCW, SSSC, NISCC) with renewal dates and document storage.

Bradford Factor Scoring

Automatic absence pattern analysis. S² × D calculation, scored on every carer record and banded on the rota as green under 100, amber to 199, red at 200 and above.

Leave Management

Holiday requests, approval workflows, and approved leave that lands straight on the rota. Carers can request leave directly from the mobile app.

Supervision Scheduling

Plan and record 1-to-1 supervisions, annual appraisals, and competency assessments. Overdue and upcoming reviews show in red and amber on the carer record and the staff compliance screen.

Absence Cover

Record a sickness absence or approve a leave request and scheduled visits that carer was down for are released back to the rota as needing cover, so nothing sits quietly unallocated.

FAQ

Staff Management, Answered

Bradford Factor scoring, training expiry, and which background check and register apply in your nation.

A Bradford Factor score of 200 or more is normally treated as high. homecareOS bands it in three: under 100 is low, 100 to 199 is medium, and 200 and above is high. The score is deliberately weighted so that frequency hurts more than length, which is why five separate one-day absences (125) scores higher than one five-day absence (5). A high score is a prompt for a conversation, not a disciplinary trigger on its own.
Anything under 100 is in the low band. A carer with no absence scores zero, and one four-day absence in a year scores 4. Most agencies set their own trigger points rather than using an industry number, because the right threshold depends on how many carers you have and how you run return to work conversations. homecareOS scores every carer from their sickness spells over the last twelve months so you can see where your own normal sits.
Spells squared, multiplied by total days: S squared times D. Three separate absences totalling six days scores 3 x 3 x 6, which is 54. One six-day absence scores 1 x 1 x 6, which is 6. The same lost time produces very different scores, which is the point of the measure: short, frequent, unplanned absence is harder to cover on a home care rota than a single planned block.
Bradford Factor software scores staff absence automatically from sickness records rather than leaving someone to work it out in a spreadsheet. Most general HR platforms offer it as a module you configure. homecareOS calculates it inside the care platform itself, from the absence records your coordinators already enter, so it uses the same data as the rota and needs no separate HR system or export.
Every training record carries an expiry date, and certificates are flagged as expiring from 30 days out and as expired once the date passes. A daily check also raises background checks, workforce registration and right to work as they approach expiry, so the office is told before a carer falls out of date rather than after.
England and Wales use the DBS. Scotland uses the Protecting Vulnerable Groups scheme run by Disclosure Scotland, and Northern Ireland uses AccessNI. For workforce registration, Wales registers with Social Care Wales, Scotland with the SSSC and Northern Ireland with NISCC; England has no mandatory individual register for care workers. homecareOS sets the right check and register from your agency's nation rather than asking you to adapt an England-shaped form.
