Set up runs, pairs and areas

A run is a round of calls in order. A pair is two carers who work together, such as a driver with a non-driver. An area is a group of postcode districts. All three live under one tab.

Rolling out These steps use the new HomecareOS screens, which are being switched on agency by agency. If your screens look different, call us on 01905 674704 and we will walk you through it.

Before you start

  • Making changes needs a role that can edit the rota. Other roles see these pages read only.

Steps

  1. Open Runs & areas

Choose Rota & visits, then Runs & areas. The views are Runs, Pairs and Areas.

  2. Add an area

On Areas, choose New area. Give it a name, a colour and its postcode districts, the first part of a postcode such as WR5 or B12. Choose Add the area.

  3. Put people in areas

In no area lists carers and people receiving care who are in no area yet. Choose people and put them in an area. Open an area and choose Who is in it to add people who live in its postcodes, or take people out.

  4. Add a run

On Runs, choose New run. Give it a name, an optional description and an area. Choose Add the run.

  5. Add the stops

Open the run and choose Stops. For each stop, choose the person, when it starts in minutes after the first stop, its length, the kind of visit and the service. Choose Save the stops.

  6. Put recurring calls on the run

Choose Recurring calls. Tick calls and choose Put on this run, or Take off the run. A run with no recurring calls is not on the weekly plan.

  7. Lay out a run on a day

On the Rota, open the ⋯ menu and choose Apply run.

  8. Pair two carers

On Pairs, choose New pair, pick the first and second carer, then Pair them. Pause or resume a pair at any time. The table shows who drives in each pair.

Good to know

  • Retiring an area leaves the people in it in no area. Who they were is kept on the audit trail.
  • Deleting a run and suggesting runs are still on the current runs page.
