Plan repeating visits

The Plan holds the repeating calls each week is built from: Monday to Sunday, repeating. Visits are made from it a week or two ahead, so changes to the Plan reach the rota without you booking every week.

Rolling out These steps use the new HomecareOS screens, which are being switched on agency by agency. If your screens look different, call us on 01905 674704 and we will walk you through it.

Before you start

Steps

  1. Set the person's visits

Go to People, open the person, choose Care plan, then Visits. Switch each visit on, such as Morning, Lunch, Tea or Bed, then set its days (Every day, Weekdays or Weekends), start, length and one or two carers.

  2. Add any different days

Use Different on some days for a visit that is shorter or later on some days, with the reason carers see.

  3. Save from a date

Choose the Starting from date, then Save changes. Everything before that date stays as it was, and nothing is deleted.

  4. Open the Plan

Choose Rota & visits, then Plan. Pick a view: By client, By carer, By run, Week timeline or List. On a two-week rota, choose Both weeks, Week 1 or Week 2.

  5. Check what needs fixing

Four figures sit at the top: calls that need a carer, calls entered twice, carers in two places at once, and people with a medicine or task no call delivers. Choose one to see those calls.

  6. Open a call

Choose a call to open its panel: length, call window, kind, service, run, carers and anything flagged.

  7. Choose who goes

In the call's panel, choose Change who goes. Pick a carer on each line and their part: Lead, Support (second carer), Shadowing or Supervisor. Carers are ranked as the rota's cover finder ranks them. Save. Empty seats on the visits already on the rota are filled too.

  8. Change the day, time or length

Use the link in the call's panel. It opens the person's care plan, where the visit is changed.

Good to know

  • Can carers be suggested? shows how ready the plan is for HomecareOS to suggest carers. Roles that can change the rota can have carers proposed for calls with nobody named, then tick the ones to apply. Nothing changes until someone applies them.
  • Suggest better carers for filled calls looks for long hours, a more familiar carer or less driving. Each suggestion is accepted or dismissed one at a time.
  • A carer is in two places at once when two of their calls overlap. It allows no travel time, so back to back calls in different homes are not flagged.
  • Finance roles see each call's charge, cost and margin.
