HomecareOS Help centre
Short, step-by-step guides for the office, carers and agency owners.
Getting started: five steps for a new agency
Do these in order and your first carer can clock in to your first visit.
- 1 Add your first service user Name, address and how carers get in. The record then shows what is still missing.
- 2 Build their care plan What matters to them, the tasks for each visit, medicines and risks.
- 3 Schedule their visits Put the visits on the rota and book a carer.
- 4 Add your carers and invite them to the app Each carer needs an email address to get their invite.
- 5 Carers sign in and clock in Carers download the app, sign in and see their visits.
Office & managers
Service users, care plans, the rota, cover, medicines and pay.
Add a new service user
Add a person, place their home on the map, and see what is still needed before care starts.
Build a care plan
Write the plan in the person's words, put tasks on the right visits, then review and publish.
Set up the rota: schedule a visit
Schedule a visit, book a carer, and see it on the day and week rota.
Read the rota: colours, marks, Unallocated and travel
What each row, colour, mark and line on the rota means, and where to click next.
Use the visit card: times, carers, cancelling and history
See planned against delivered, correct times, change carers, cancel, and read the change history.
Plan repeating visits
Set each person's regular visits, choose who usually goes, and fix what the Plan flags.
Set up runs, pairs and areas
Group calls into rounds, pair carers, and split your patch into postcode areas.
Find cover: visits that need a carer
See every visit with no carer in the next 14 days, then use Find cover to book someone who is free.
Cancel a visit
Cancel with a reason and a charge, and keep the visit on the record.
Approve or decline a leave request
Decide a carer's holiday or leave request, and see who else is off.
Check medicines on the MAR chart
See every dose for the week, what was recorded, where the carer app would miss a dose, and change the medicines list.
Invite a carer to the app
Add the carer with their email address, then send their invite to the carer app.
From timesheets to time checks to payroll
Check the week's timesheets, look at visits off plan, then run pay with nothing held.
Check, send and chase invoices
See what payers owe, check each invoice's lines, then generate, send and record payment.
Carers

Carer: download the app and sign in

Carer: my visits are not showing, or I cannot sign in
Check the right day, refresh, check your signal, and reset a forgotten password.
Carer: clock in and out
Clock in by GPS, QR code or NFC tag, and clock out when the visit is done.
Carer: complete tasks and notes
Complete or skip each task with a reason, record readings, and write your care notes.
Carer: record medicines (eMAR)
Record each dose due at this visit, with the outcome, PRN reason or patch site.
